Provide executive level administrative assistance to the President/CEO. Maintain contacts, schedule and correspondence for the President. Attend assigned committee meetings and transcribe meeting minutes. Assist President with support for the Board of Directors and associated committees. Keep all Board of Directors records and communications current.

KEY ROLES (Essential Job Responsibilities):

  • Performs advanced administrative duties, preparing correspondence and reports as requested by supervisor and composes draft letters following established formats. Proofreads all materials for accuracy prior to supervisory review and signature.
  • Coordinates President's schedule and maintains contacts in Outlook ensuring those contacts are shared with the Database Administrator for inclusion in the donor database.
  • In coordination with the Development Department, researches and prepares prospect files for donor appointments, new Board Members, or corporate profiles for tours.
  • Attends assigned committee meetings; prepares meeting notices, agenda and minutes.
  • Assists in fund raising efforts as assigned by providing administrative support to committee chairs, Board Members, and volunteers.
  • Provide administrative assistance to President regarding Board of Directors to include meeting notices, attending meetings and preparing minutes, maintaining Board List and statistical data. Coordinate Annual Meetings and other special events, such as Board Orientation and the annual Board Retreat.
  • Provides backup support to Administrative Assistant for answering telephones and processing mail.
  • Performs other related duties and responsibilities as required or as assigned.


Internal: Maintain close, daily contact with Supervisor to exchange information, seek and give assistance, consultation and direction. Maintains contact with Development and financial staff to ensure tracking of donations. Maintain verbal and written contact with staff members at all levels.

External: Maintains contact with Board Members, volunteers and volunteer committees.


• Associate's degree required. Bachelor's degree preferred in related field from an accredited college or university, or professional administrative certification desired.
• Minimum of three years executive level administrative support.
• Excellent verbal and written communication skills. Ability to write and prepare professional correspondence.
• Advanced knowledge of the following software: Microsoft Office, databases, word processing, spreadsheet, and presentation. Advanced knowledge of Microsoft Access software a plus.
• Valid driver's license with good driving record and consistent access to a motor vehicle with appropriate insurance.

Physical requirements: The ability to clearly and concisely exchange/receive ideas, facts and or technical information with others. The employee is required to use hands to handle or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The employee may occasionally lift and/or move up to 10 pounds. Employee may occasionally need to operate a motor vehicle. Work environment: Normal office environment.
