Job Summary:  Responsible for overall management of a comprehensive roster of special event initiatives overseen by the Development Department.  This includes managing logistics, timelines, committee meetings, solicitations and acknowledgements for all events as assigned.

Essential Duties and Responsibilities:  Include the following, other duties may be assigned. 

  • Supports all annual regional fundraising events by working with Development Officers of each county/branch to plan, organize, and manage the events. Includes but is not limited to Be Great Gala, Rising Stars Gala, RunDisney, Black & White Ball and other events as assigned. 
  • Represents the organization in the community through presentations at workplace giving campaigns, corporate functions, and other events.
  • Supports Development & Events Manager to coordinate all aspects of the auction for the signature fundraising event including Live Auction, Silent Auction, etc. in cooperation with the Auction Committee. Responsible for distribution of all auction meeting notices to event committees and preparation of minutes from event committee meetings.
  • Supports event logistics for five Faces of the Future breakfasts throughout geographic footprint.
  • Trains and manages all volunteers for fundraising events in conjunction with Volunteer Manager, and ensures the event process is efficiently and appropriately managed.
  • Prepares requests for proposals and secures event related vendor contracts as well as in-kind donations from vendors.  Negotiates with restaurants, hotels, and other vendors for departmental events and follows through on contract execution. 
  • Manages and maintains accurate records of registration and event logistics.  Accurately records event related information into the Raiser's Edge database.
  • Manages approved third party events and promotions for department based on established criteria. (Northern Star Golf Tournament, HKS Golf Tournament, Etc.)
  • Provides marketing support for assigned events including; collateral materials related fundraising events, design of invitations, setting up marketing materials at events, necessary slide shows, awards, event E-blasts, etc.
  • Performs other related duties and responsibilities as required or as assigned to support Development Department. 


Internal:  Maintain oral and written contact with Vice President of Development, Development Team, staff and Board for the purpose of exchange of information as it related to campaign and special events.

External:  Maintain verbal and written contact with event prospects, donors and vendors.


  • Bachelor's degree from an accredited college or university.
  • A minimum of three to five years work experience in non-profit, including organizing small and large-scale special events.
  • Strong oral and written communication skills both verbal and written.
  • Strategic and creative thinker, proactive, driven, highly, organized with demonstrated hands-on experience and the ability to multi-task, handle pressure and meet deadlines. 
  • Strong project management and revenue management.
  • Understanding of basic fundraising and sales principles.
  • Highly competent computer skills, including Microsoft Word, Excel, Power Point, and other related programs.
  • Highly competent working independently and with a team.
